Hosted PBX (also known as Cloud PBX) is a business telephone system hosted ‘in the Cloud’ or data centre.
PBX stands for Private Branch Exchange. It allows you to transfer calls, create ring groups (groups of extensions), set up conference calls or queue incoming calls up, allow the caller to route their call via press-key options, eg. “For sales press 1” and much, much more.
In a nutshell, the PBX connects trunks (outside lines that connect your business) with extensions within your business – either a desk handset or Smartphone.

EXTENTIONS
Extensions connect users to the PBX, through desktop IP phones, softphone apps on computers and Smartphones and WebRTC. Web Real-Time Communications is a technology which enables Web applications and sites to capture and optionally stream audio and/or video media, known as UC, Unified Communication.
IP PHONES
IP phones are simply phones designed for VoIP. There’s a vast range of IP-compatible devices in the market today but we exclusively use and recommend Yealink. Yealink have been the global leader in IP telephony since 2016 and have a complete range of IP Telephony products, and depending on the requirements, users can choose the phone that best fits their needs.
TRUNKS
The term “trunks” originates from the old days when PBX systems were connected to the outside world through telecom wires, called trunks. With IP Telephony, these trunks are achieved using SIP protocol, thus they’re called SIP trunks.
AUTO ATTENDANT
When a caller phones your business, the Auto Attendant takes care of connecting the caller to the right destination via press-key options. Eg. For sales, press 1 etc.
MOBILE PHONES SOFTPHONES
Mobile phones can be used in parallel with IP phones, ringing both the phone in the office and the mobile phone, depending on the times the user wants it, either always, or only at preset times.
VOICEMAIL
When a user isn’t available, the PBX mailbox takes a message and delivers it to the user. It sends a ‘Message waiting’ notification to the handset and/or an email to the user’s email account.
EMAIL NOTIFICATIONS
When a call happens, the PBX notifies the user via email. Whether the user missed a call, has a new voicemail message or a technical problem has occurred.
CALL GROUPS
For groups with a lot of callers, the automatic call distribution stacks callers up and sends them to agents when they become available.
TEXT NOTIFICATIONS
In addition to email notifications, the PBX can also send out text messages (SMS). These messages easily grab the attention of the user. And they work even if the user doesn’t have a smartphone.
RING GROUPS
For not so busy groups, extensions can form a ring group. This distributes calls in a simple way to one of the extensions.
CALL RECORDING
Calls can be recorded and made available via the web interface or automatically emailed. There are 3 ways to implement recordings, 1. globally, per extension, or ad-hoc, via a key on the handset.
CONFERENCE CALLS
When more than two users need to talk, the conference room of the PBX can connect several callers into an audio conference.
CALL LOGS
Every event and activity is recorded in detail, time and date stamped, called party and calling party details etc., are logged and the data is available for viewing and download via the web interface.
VALET PARKING
Instead of holding a call, users can also park a call until someone picks the call up from another extension. There are 9 parking slots.
PAGING
Paging groups can send live or recorded messages to extensions. This is an efficient way of distributing information quickly.
FORWARD CALLS
Never miss a call again by forwarding calls to your mobile and your extension simultaneously, or sequentially until answered.
VIRTUAL EXTENSIONS
Created an extension to an outside number or mobile number, assign it a PBX extension number and treat it as if it as an actual extension on the PBX. Ideal for remote workers.
MULTIPLE SITES
Create individual offices each with their own call routes, operating hours and caller ID etc., all on a single PBX. This makes the interaction between multiple sites seamless and cost-effective.
